Office Manager (Madrid)

Refinery89 is looking for a proactive, organized, and people-driven Office Manager to keep our fast-paced Madrid office running like a well-oiled machine. Oversee day-to-day office operations to ensure our 800m² Madrid headquarters run smoothly and efficiently.
Manage office supplies, vendor relationships, and maintenance providers to keep the workplace functional and pleasant.
Support onboarding and offboarding processes in coordination with our HR department.
Act as the main point of contact for all facility-related topics, including coordination with building management and service providers.
Organize company events, Friday gatherings, and team-building activities that strengthen our international culture.
Assist in travel arrangements, meeting scheduling, and calendar coordination for leadership and visiting staff.
Ensure health, safety, and compliance standards are met within the office environment.
Handle incoming correspondence, packages, and manage general inquiries to the Madrid office.

Communication Pro: Fluent in English and Spanish, both written and spoken. You know how to communicate clearly and diplomatically with colleagues and vendors.
Independent & Reliable: You take ownership of your responsibilities and follow through with minimal supervision.
2+ years of experience in office management, administrative assistance, or operations coordination.
Previous experience in a startup or international environment.
Familiarity with tools like Google Workspace, Slack, and basic Excel or accounting knowledge.
Experience coordinating company events or managing small budgets is a big plus.
