Refinery89 is looking for a proactive, organized, and people-driven Office Manager to keep our fast-paced Madrid office running like a well-oiled machine. What You’ll Do:

  • Oversee day-to-day office operations to ensure our 800m² Madrid headquarters run smoothly and efficiently.

  • Manage office supplies, vendor relationships, and maintenance providers to keep the workplace functional and pleasant.

  • Support onboarding and offboarding processes in coordination with our HR department.

  • Act as the main point of contact for all facility-related topics, including coordination with building management and service providers.

  • Organize company events, Friday gatherings, and team-building activities that strengthen our international culture.

  • Assist in travel arrangements, meeting scheduling, and calendar coordination for leadership and visiting staff.

  • Ensure health, safety, and compliance standards are met within the office environment.

  • Handle incoming correspondence, packages, and manage general inquiries to the Madrid office.

Some definite pros that will make you stand out:

  • 2+ years of experience in office management, administrative assistance, or operations coordination.

  • Previous experience in a startup or international environment.

  • Familiarity with tools like Google Workspace, Slack, and basic Excel or accounting knowledge.

  • Experience coordinating company events or managing small budgets is a big plus.
